We are currently seeking an experienced Project Administrator to join a high-performing team supporting a major telecommunications client.
This role is ideal for someone with strong experience in high-volume invoice validation, data analysis, and stakeholder coordination within a fast-paced environment.

About the Role
Reporting to the Team Leader, you will play a key role in validating subcontractor and internal technician work orders, ensuring invoicing accuracy and compliance with contractual obligations. You will work closely with Finance and Commercial teams to support accounts payable processes and meet critical KPIs.

Role Details
  • Office located at Lonsdale Street, Melbourne CBD
  • Minimum 2 days per week in the office (Monday & Tuesday, especially during training)
  • Standard hours: 9:00am – 5:00pm
  • $40 p/hr + super & weekly pay
Key Responsibilities
  • Process and validate high volumes of work orders and invoices (60–100+ per day)
  • Validate invoices against supporting documentation and compliance artefacts
  • Reconcile subcontractor statements and manage invoice status
  • Investigate and resolve invoice discrepancies and queries
  • Analyse data and support reporting requirements
  • Achieve KPIs with a focus on 60-day invoicing targets
  • Liaise with internal stakeholders and external vendors
  • Support process improvements, documentation, and team training
About You To be successful in this role, you will have:
  • Proven experience in high-volume invoice processing and validation
  • Strong attention to detail and analytical capability
  • Experience reviewing work orders, timesheets, delivery records, and compliance documentation
  • Ability to identify discrepancies and resolve issues efficiently
  • Strong communication skills and stakeholder management experience
  • The ability to work independently and collaboratively within a team
Technical Skills & Experience
  • Intermediate MS Excel skills (Pivot Tables, formulas including XLOOKUP, charts)
  • Intermediate MS Office skills
  • Experience with ERP systems such as Maximo, Novus, and/or SAP (highly regarded)
  • Experience in telecommunications and/or finance environments preferred
